Seeking a keenly organized individual with a strong customer service focus. Under general supervision, the Administrative Assistant handles the routine and daily work of the Property Management office. Interfaces with tenants, clients, and service providers to relieve the Property Manager of clerical work and minor administrative and business detail by performing the following duties. Customer service and administrative experience is essential. Commercial Real Estate management experience is a plus. EDUCATION AND EXPERIENCE

  • Office Administration and customer service experience required.

  • Background in property management a plus.

COMMUNICATION SKILLS

  • Ability to read and interpret documents such as reports, policies and procedures, safety rules and ask clarifying questions to ensure understanding.

  • Ability to write routine reports and correspondence.

  • Ability to respond to common inquiries or complaints from client, vendors, tenants and supervisors.

  • Ability to effectively present information to small or large groups.

COMPUTER SKILLS

  • Intermediate to advanced skills with Microsoft Office Suite required.

  • Ability to learn computer programs quickly.

OTHER SKILLS

  • strong customer service skills. Ability to remain calm and handle situations that need resolution.

Responsibilities

Essential Duties and Responsibilities

  • Answer phones and greet office visitors warmly.

  • Process and follow up on tenant work order requests per lease policies.

  • Coordinate internal staff and external vendors for maintenance and repairs.

  • Manage vendor invoicing, billing inquiries, and payments.

  • Maintain property and administrative files, assist in document preparation, and track document progress.

  • Perform administrative tasks: answer phones, draft correspondence, report expenses, coordinate meetings, file, and copy.

  • Maintain contact listings for property management.

  • Handle vendor setup and follow-up, ensuring contract completion.

  • Assist in distributing monthly rent statements.

  • Maintain service contracts and insurance certificates, monitoring expiration dates for compliance.

  • Manage distribution and database of parking and employee passes.

  • Code and process corporate credit card expenses promptly.

  • Support leasing processes not requiring a Real Estate License.

  • Assist in special projects as needed for Property Managers, Area Manager, and Regional VP.
