Job Summary: As an Administrative Coordinator, you will play a pivotal role in supporting the daily operations of our construction office. Your responsibilities will include managing administrative tasks, coordinating office activities, and providing essential support to our project managers and construction teams. Responsibilities

Key Responsibilities and Duties:

  • Manage the front desk, greet visitors, and handle incoming calls and correspondence.

  • Maintain office supplies and equipment, ensuring the office is well-stocked and organized.

  • Oversee the maintenance and organization of office files and records.

  • Schedule and coordinate meetings, appointments, and travel arrangements for staff.

  • Assist project managers with administrative tasks related to construction projects.

  • Prepare and distribute project documentation, including contracts, change orders, and project updates.

  • Track and report on project timelines, budgets, and milestones.

  • Coordinate communication between project teams, subcontractors, and clients.

  • Process invoices, purchase orders, and expense reports.

  • Assist with payroll processing and timekeeping for construction staff.

  • Manage accounts payable and receivable, ensuring timely and accurate payments.

  • Prepare financial reports and assist with budget tracking and reconciliation.

  • Ensure all necessary permits, licenses, and inspections are obtained and documented.

  • Maintain compliance with local, state, and federal regulations and company policies.

  • Serve as a liaison between office staff, project teams, clients, and vendors.
