Job Description:

We are seeking a skilled Construction Administrative Assistant to support our construction team in efficiently managing administrative tasks and ensuring smooth operations on-site. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. bilingual proficiency is a plus as it will facilitate communication with diverse teams and stakeholders. Requirements:

  • Previous experience in an administrative role, preferably in the construction industry.

  • Excellent organizational and time management skills.

  • Proficiency in Microoft Office Suite (Word, Excel, Outlook).

  • strong communication skills, both written and verbal.

  • Attention to detail and ability to maintain accurate records.

  • bilingual proficiency in English and another language is highly desirable.

  • Ability to multitask and prioritize tasks effectively in a dynamic environment.

  • Familiarity with construction terminology and processes is a plus.

salary: $40,000 - $55,000 per year

Responsibilities

Responsibilities:

Documentation Management: Organize and maintain construction documents, including permits, contracts, drawings, and correspondence. Ensure all documents are accurately filed and easily accessible for the team.

Communication: Facilitate communication between project stakeholders, including contractors, subcontractors, suppliers, and internal team members. Serve as a liaison for bilingual communication when necessary.

Scheduling: Assist in scheduling meetings, appointments, and site visits for the construction team. Coordinate calendars and update schedules as needed.

Data Entry: Input and maintain project-related data in spreadsheets and databases. Keep track of project expenses, invoices, and budget reports.

Support in Procurement: Assist in procurement processes by obtaining quotes, placing orders, and tracking deliveries of construction materials and equipment.

Site Support: Provide administrative support to the on-site team, including preparing and distributing daily reports, maintaining site records, and coordinating logistics.

Translation and Interpretation: Translate documents, emails, and verbal communications between English and another language as needed. Interpret conversations during meetings or site visits.

Quality Assurance: Assist in maintaining quality standards by ensuring documentation compliance, monitoring project progress, and identifying any issues that may arise.
