Are you a highly organized and motivated individual looking to contribute to a dynamic and growing small commercial construction firm? We are seeking a part-time Administrative Assistant to join our team and support our owner and president, as well as our property manager. In this versatile role, you will assist with a variety of tasks including marketing, clerical duties, and light bookkeeping/data entry. This is a fantastic opportunity to become an integral part of our team and help drive our business forward. If you have a keen eye for detail, excellent communication skills, and a proactive attitude, we want to hear from you! Flexible Schedule: The total number of hours worked during the week will be 20, with 5 hours worked each day. However, the specific hours (9-2, 10-3, 11-4, etc.) are flexible and can be adjusted based on your availability and the needs of the business. Requirements:

  • Proven experience as an administrative assistant or in a similar role, preferably within the real estate industry.

  • Proficiency in Microsoft Office Suite.

  • Exceptional organizational and time management skills.

  • strong communication skills, both written and verbal.

  • Ability to multitask and effectively prioritize tasks.

  • Attention to detail and a high level of accuracy.

  • Discretion and the ability to handle confidential information.

  • Positive attitude and willingness to adapt to changing priorities.

  • Knowledge of commercial real estate terminology and processes is advantageous.

salary: $19.99 - $20 per hour

work hours: 9:30 AM - 2:30 PM

Responsibilities

  • Drafting and editing correspondence, invoices, and various documents.

  • Generating marketing materials using BuildOut and CoStar platforms.

  • Managing mailing lists and coordinating marketing campaigns.

  • Assisting with reconcilliations.

  • Scheduling and coordinating meetings.

  • Providing support to the Property Manager (experience with Yardi is advantageous).

  • Screening and directing phone calls and emails, responding to inquiries as necessary.

  • Assisting with project management tasks, such as tracking deadlines and milestones.

  • Handling confidential information with discretion and professionalism.

  • Conducting research and preparing reports as required.

  • Offering general administrative support to the executive team.
