Our client, a leading retail company, is seeking a highly organized and detail-oriented Merchandise Assistant. This role is essential in managing the purchase order process and ensuring the accuracy and integrity of order information. The ideal candidate will be proactive in expediting purchase orders, maintaining vendor relationships, and ensuring timely and accurate processing.

Position Overview: The Merchandise Assistant will be responsible for preparing and managing domestic and import purchase orders, collaborating with Planning & Allocation, and ensuring the accuracy of ASN/EDI information. This role requires strong attention to detail and excellent communication skills to effectively follow up on late purchase orders and negotiate vendor shipping extensions.

Key Responsibilities:

Purchase Orders:

  • Preparation and Entry: Prepare and write domestic and import purchase orders. Enter and review electronic POs via the Buyer Worksheet application.

  • Revision and Approval: Revise purchase orders daily, following the purchase order change process. Ensure all necessary signatures are obtained for a letter of credit PO.

  • Collaboration: Partner with Planning & Allocation to expedite PO entry and follow through to ensure electronic POs are addressed in a timely and accurate manner.

  • Accuracy and Integrity: Ensure accuracy and integrity of ASN/EDI PO information, including identifying ASN/EDI orders and contacting vendors for required information when needed.

  • Follow-Up: Pull late lists weekly and follow up on all late POs with vendors. Review ship dates and make necessary revisions. Receive authorization from Buyer to approve vendor shipping extensions and renegotiate costs as needed. Follow up with traffic/transportation departments as required.

  • Tracking: Track all POs generated through the buyer worksheet system to ensure the final PO has been received.
