The Finance Compliance and Risk & Control departments are responsible for enhancing risk management, controls, and governance to embed a culture of compliance & integrity. The Agile Center of Excellence inspires Agile mindsets and practices to enable organizational agility. We're on the lookout for a Program Coordinator who will be instrumental in the workings with these departments. This multifaceted role is not just about keeping things running smoothly; it's a steppingstone to professional growth within the company, in a culture that values innovation and excellence.

We need someone who can keep pace with a fast-moving, ambitious team, someone who's as comfortable managing day-to-day administrative tasks as they are contributing to high-level projects and engaging with stakeholders globally.

Job Description

  • The coordinator carries out assigned activities in support of the department.

  • Provides office services by implementing administrative systems, procedures, and policies; monitoring administrative projects; maintaining suggestion program.

  • Arranges meetings and logistics.

  • Proficient in all MS Office Suite Products.

Responsibilities

Administrative (50%)

  • Schedule meetings, conference rooms and manage calendars.

  • Onboarding - employees and consultants.

  • Travel arrangements.

  • Expense reports.

  • Request and manage security clearance.

  • Coordinate team events and/or training.

  • Order office supplies.

Special projects and programs (50%)

  • Assist projects and key outcomes.

  • Support program key deliverables.

  • Maintain SharePoint sites and other department applications.

  • Assist with spreadsheets, presentation, documentation, reporting and/or research.

  • Assist with budgets and invoices where applicable.

  • Administrative coordination across projects.

Required Qualifications

  • Bachelor's Degree

  • Prior experience as administrative assistant or coordinator

  • Interested in assisting in efficient departmental administration.

  • At ease in a fast-paced, high energy, ever-changing work environment with shifting priorities.

  • strong communication skills - written and verbal.

  • Exceptional organizational and interpersonal skills - looking for someone with a positive, welcoming style, a "can do" spirit and a team player attitude.

  • Critical thinking, dependability, discretion and attention to detail are required.

  • Proficient in Microsoft Word, Excel and PowerPoint skills required.

  • Aptitude and desire to learn new skills and applications.
